General Data Protection Regulation (GDPR)

The deadline for implementation of the General Data Protection Regulation (GDPR) in the UK is 25th May 2018. It applies to grassroot clubs like HSOC and accordinglay we are legally obliged to be compliant.

The club must say what data it collects, for what reason/s and how it will store this and for how long it will be kept before erasure. In addition the club must respond to requests for copies of personal data from any member within one calendar month.

Consent to use your data in the way we explain needs to be obtained from each of you and any breach of data security must be reported to the Information Commissioner’s Office by the club within 72 hours of discovery.

There are additional protections for children’s data and data can only be used for the purpose for which it was collected and the club must have a written data protection policy explaining this.

Fines for non-compliance can be up to 20 million euros!

The club now has a GDPR officer that can be contacted on all matters related to this legislation by emailing:

Since, in theory, if the club does not receive your consent for it to store your data then we would have no alternative but to erase it meaning that we would no longer be able to contact you. So, pragmatically the club is assuming that members who have joined before17th February 2018 for 2018 have consented to allow the club to collect and use their data in accordnace with the club's data protection policy that can be downloaded using the link below.

Members will be receiving their 2018 membership pack in the next few days and the policy will be included therein for your information together with an opt-out option. But please bear in mind that if you do not consent the club to store your contact data we wil not be able to contact you!
